This page provides information on the University Enrollment Explorer tool located on the IR website. Definitions for terms used in all reports and tools produced by the Office of Institutional Research can be found in our Glossary of IR Terms.
Customizing and Filtering the View
For some of our tools, we realize that different users will want to view things in different ways. One key example of this is the use of either calendar or academic years. When possible, we will provide an area that allows you to customize the view to the one you prefer the most.
Another advantage of Tableau is the ability to dynamically filter the data being displayed. In most cases the filters will appears as drop-down menus with a variety of options. In some cases filters might interact with each other. For example, if you narrow the data to a specific college, then the filter for department will only display the departments and schools within that college. Other filters, such as calendar or academic years, might appear as a slider bar along you to slide between years.
Identifying Data Points
Although the self-service tools put an emphasis on visualizing the data, the numbers behind it are not lost. In most tools you can move the mouse over elements in graph (e.g. bars, lines, slices of a pie chart, etc.) to reveal a description of the numbers behind it. In some cases this information will be presented in a list format, but in others it might appear in a more descriptive text format.
Downloading a Crosstab
In order to download a table or chart as a crosstab, you must select it first. In order to do this, simply click somewhere in the table (or chart). While clicking, it is possible that you will highlight a particular row or column. If this happens, simply click that row or column a second time to unhighlight it. Next, click on the download button at the bottom right and choose "Download Crosstab". A pop-up window should appear in the middle of the screen letting you know that the crosstab has been created and is now available. Click on download and you should be prompted to either save or open the file.
Printing the View
The best way to print a report from the self-service tools is to first create a PDF. In the bottom right corner there is a link that says “Download”. When you click this link, a list of options will appear. Select PDF and set the options. We recommend using the layout (either portrait or landscape) of the dashboard view itself. You can then open and print from the PDF.
Downloading an Image into PowerPoint, Word, or Other Programs
One nice feature of Tableau is the ability to download a copy of the visualization as an image. By clicking on the Download option at the bottom right, you can select “Image”. This will provide you with a way to download an image file suitable for inserting into PowerPoint presentations or other files.
Sharing a Customized View with Other People
Although we recommend referring people to our website to access the Self-Service Tools, it is possible to customize a view and then share that particular visualization with other people. To do this, begin by customizing the view so that it shows the data that you want. Next, click the “Share” link at the bottom right. A pop-up will appear with a field called “Link”. You can copy and paste this link into an email (or other document) to share the customized view you created with other people. When doing this, the other tabs in the tool will not be available. Please note that the links to the customized view are currently maintained by Tableau, so we have no control over how long the unique link that is created will last.
To begin, start on the "Select Students" tab. On this page you can select from a pre-defined list of student cohorts or start with all enrolled students. You can also use the custom filters to narrow down the group of students you will see on other pages. As you make your selections you will be shown both a table and graph indicating the number of students you have selected from each year and/or semester.
Who are they?
This tab will display demographic information about the students you have selected. This includes information about gender, race/ethnicity, age, and other factors if available.
Where did they come from?
This tab displays information about from where students came to Texas State, including geographic origin (country, state, and county), metropolitan statistical area, and more.
Where are they now?
This tab provides a breakdown based on student level, college, department, major, and minor.
Designed for more advanced questions, this tab allows you to create a customized table based on variables about the students that you select. This table can then be exported to Excel for further analysis.
